Job Description

The Events Coordinator serves as the central point of truth for all event-related information at The Englert, ensuring no detail is overlooked and every event runs smoothly. This role requires exceptional organization, proactive communication, and the ability to manage multiple moving pieces with confidence and clarity.


Functioning as a project manager for event logistics, the Events Coordinator works closely with the Events Director, staff across departments, and external partners to advance, produce, and support the execution of events—from initial planning to post-event debriefs. Candidates must bring a “can do” attitude, confidently stepping in to resolve missing or unclear details and ensuring success no matter the challenge.

Schedule

Full-time, exempt position. Primarily weekday business hours, with some evenings/weekends
required for events.

Core Responsibilities

Event Advancement & Coordination

  • Own and lead all advancing communications, ensuring complete and accurate event information is collected, tracked, and shared.
  • Serve as the go-to source for internal and external event details, timelines, and logistical requirements.
  • Coordinate artist and participant needs (transportation, lodging, payment, etc.).
  • Draft and distribute event documentation such as artist one-sheets.
  • Cross-check contracts and offers to ensure alignment with event plans.
  • Proactively follow up with internal teams to close information gaps ahead of events.
  • Works to meet event needs within set budget parameters and provide post-show expense reports.
  • Assist events team and other senior leadership with related assignments as needed.

Day-of Event Production

  • Act as the primary producer, leading day-of-event coordination from artist load-in to handoff to house management.
  • Manage all day-of communication with artists, tour managers, vendors, and staff.
  • Coordinate cash needs, artist hospitality, and ticketing adjustments as needed.
  • Troubleshoot in real-time, identifying solutions and escalating when appropriate.
  • Ensure organizational policies are followed and event expectations are clearly communicated to all stakeholders.

Community Rentals & Festival Support

  • Lead communication and coordination for external rentals, including weddings, nonprofit events, and community concerts.
  • Provide venue tours for prospective renters and assist in hospitality planning.
  • Support Englert festivals with leadership roles and production tasks as assigned.

Compensation

  • Salary: $38,500/year (exempt)

The Performing Arts Industry

Our organization’s schedule follows the touring industry, with busy seasons in October-December and February-May. This position is subject to some non-traditional work hours, like working events in the evening.
